01 / After you’ve checked the date

The first real reply

Replace every bracket. Mention something they actually told you. Keep the starting price accurate, and offer one next step.

If they already gave you a budget, answer it directly. If you can’t confirm availability yet, replace that sentence with when you’ll check and reply.

THE EMAIL

SubjectYour wedding at [venue] on [date]

Hi [names],

[Personal sentence about something they mentioned in their inquiry.]

I’ve checked our calendar, and we’re available for [date]. Our [photography / film] collections start at [starting price] and include [one or two useful details about coverage or delivery]. You can see the options here: [pricing guide link].

I’d love to hear what matters most to you about the day. Would [time option one] or [time option two] work for a short call?

[Your name] [Studio name]

02 / About two business days later

Make it easy to answer

Only send if they haven’t replied. Stay in the same email thread so the original details are easy to find.

Choose a genuine unresolved detail. If you don’t have one, ask simply whether they have a question about coverage or pricing.

THE EMAIL

SubjectRe: Your wedding at [venue] on [date]

Hi [names],

Did the [pricing guide / collection details] give you what you needed for [date]?

If you’re still deciding on [specific detail they mentioned, such as ceremony coverage], I’m happy to talk through what I’d suggest for your day. You can reply here with your question; we don’t need to schedule a call for everything.

[Your name]

03 / About a week after the first reply

Leave the door open

A suggested stopping point, not an automatic sending schedule. Stop sooner if they decline or ask for space.

No request for an explanation, no pretend deadline. If you have a real date-hold policy, explain it separately and accurately.

SubjectRe: Your wedding at [venue] on [date]

Hi [names],

I’m going to leave this with you after today. If you’d still like to talk about [photography / a film] for [date], reply whenever you’re ready and I’ll check where the calendar stands.

If you’ve found your person, I hope you have a brilliant day at [venue]. Thanks for considering [studio name].

[Your name]

04 / After your consultation

Turn the conversation into a clear next step

Reflect their priorities back in plain language. Check the payment and reservation terms against your own agreement.

Don’t say the date is booked until your actual booking requirements have been met.

THE EMAIL

SubjectThe [collection name] option for [names]

Hi [names],

It was lovely talking about [specific plan or priority from the call]. Based on what you described, I’d suggest [collection name]: [coverage], [main deliverables], for [total price].

Here are the details we discussed: [proposal link].

To reserve the date, our process is [your actual contract and initial-payment requirements]. If someone else needs to review the agreement or handle payment, let me know who should receive each document.

Would you like me to prepare the booking documents, or is there anything you’d like to work through first?

[Your name]

05 / Two or three business days after the proposal

Answer the decision that’s still open

Use the timing you agreed on during the call. If they said they need two weeks, give them two weeks.

A follow-up should add something useful. Skip the recommendation sentence if you don’t have enough information to make one.

THE EMAIL

SubjectRe: The [collection name] option for [names]

Hi [names],

Have you had a chance to look through the proposal for [date]?

When we spoke, you were weighing [specific choice]. [One useful sentence explaining the difference or your recommendation.]

If that’s the only thing holding things up, send me what you’re unsure about and I’ll help you compare the options.

[Your name]

06 / After the decision date you agreed on

Close the loop after a consultation

Send once. If plans change, they can restart the conversation without an apology.

If you never agreed on a decision date, replace the opening with: ‘I’m wrapping up my follow-ups for [wedding date] and wanted to leave you a final note.’

THE EMAIL

SubjectRe: The [collection name] option for [names]

Hi [names],

We’d planned to reconnect around [agreed date], so I wanted to leave you a final note about [wedding date].

If you’d like to go ahead, reply here and I’ll confirm availability and the next step. If your plans have changed, there’s nothing else you need to do.

Thank you for taking the time to talk with me about your wedding.

07 / After checking availability and the brief

When the planner starts the conversation

Answer the planner’s practical questions. Don’t make them repeat information they already sent.

Use the availability sentence only after checking. Mention past work together only if it actually happened.

THE EMAIL

Subject[Couple’s names] · [date] · [venue]

Hi [planner name],

Thank you for sending the details for [couple’s names]. We’re available for [date], and [specific coverage or approach] looks like a good fit for the plans you described.

Our collections begin at [starting price]. Here’s the guide: [pricing guide link].

Would you prefer to review options with me first, or arrange a conversation with the couple? When it’s time for booking documents, I can keep review, signatures, and payment with the right people. Let me know who you’d like included.
