HoneyBook Alternatives for Wedding Videographers (From a Wedding Filmmaker)

The short answer

Four HoneyBook alternatives worth comparing for wedding videography are Dubsado, Studio Ninja, 17hats, and Bower. Dubsado offers configurable forms and workflows, Studio Ninja Starter has the lowest listed annual entry price among these options, 17hats offers one main plan, and Bower focuses on a simple wedding booking process, built by a wedding filmmaker.

The right pick depends less on features than on how much setup you'll tolerate. Videographers already spend their evenings in an editing timeline. The question is whether you want to spend a few more building a CRM.

This guide is published by Bower. We'll be fair about where the others win. Pricing checked November 2, 2026.

What wedding videographers need that photographers don't

Most CRM comparison pages are written for photographers and assume video is the same job with a different camera. It isn't, at least not on the admin side.

Weddings stay open a lot longer. A photographer might deliver a gallery in six weeks. A feature film can take months, especially in peak season. That means a lot of weddings sitting in your CRM at once, all booked, all shot, none finished. Any plan that limits active jobs gets uncomfortable fast.

Packages have more moving parts. Highlight film, feature film, full ceremony edit, raw footage, drone, a second shooter, a rehearsal dinner add-on. Your proposal needs to handle add-ons cleanly so you can present the package and extras together.

The contract carries more caveats. Audio isn't guaranteed when the DJ parks a speaker next to the officiant. Drone footage depends on the venue and the weather. Music has to be licensed. Revisions need a cap. All of that has to live in an agreement couples actually read.

"When is our film coming?" is a real email. Couples wait longer for video than for photos, and they ask. A clear delivery window in the contract, and one place to see where each wedding stands, saves you from digging through old threads to answer it.

You work closely with the planner and the DJ. Timelines, audio feeds, first-dance timing. The planner usually wants a copy of your contract, and they don't want to log into anything to get it.

The alternatives, through a videographer's eyes

Bower: built by a wedding filmmaker for booking weddings

Bower was built by Clifton, who has run Retrosound Films, a wedding video studio, since 2018. He used HoneyBook, found it to be more than he needed, and built the CRM he'd actually use.

Every wedding is a Project from inquiry onward: the conversation, wedding details, proposal, contract, invoices, and questionnaire all in one place. Proposals handle packages and add-ons, so a feature film plus drone plus a rehearsal dinner edit doesn't need a custom invoice. The planner gets a link to view the contract, the couple get their own links to sign, and a parent paying the retainer gets the invoice. Nobody creates an account.

Where it falls short: no custom workflow builder and no scheduler yet. Inquiry acknowledgments and payment reminders go out automatically, and configurable automation is planned for the next major update. If you want detailed automated sequences today, Dubsado Premier or HoneyBook Essentials is the better fit.

Who built Bower, and why

Dubsado: for the videographer who likes building systems

Dubsado is worth a look if you want to configure your own booking process. Premier includes automated workflows, scheduling, public proposals, and Zapier, and its 21-day trial gives you full Premier access without a credit card (Dubsado pricing).

If you already think in sequences, test your questionnaire timing, planning-call reminders, final payment reminders, and delivery emails during the trial. Check the triggers and controls for each step rather than assuming the whole process will work unchanged.

Studio Ninja: built for photo and video studios

Studio Ninja lists videographers alongside photographers as its core users, and it shows in the integrations, including Pic-Time and ShootProof. Contracts, questionnaires, payment schedules, and a client portal come on every plan, and it offers free data migration and one-on-one training (Studio Ninja pricing).

Skip the Starter plan. It caps you at five active jobs, and a wedding videographer with booked, shot, and in-the-edit weddings will blow past five before the season even starts. Pro, at $270 a year, is the real comparison.

17hats: one plan with everything in it

17hats sells a single plan at $60 a month, $600 a year, or $800 for two years, with the same features at every billing option (17hats pricing). Its $600 annual option has the highest 12-month subscription cost in the table above. Time tracking is included in the current plan; bank connection is an optional $5/month add-on. It suits a videographer who wants one general business tool and no tier decisions.

HoneyBook itself: worth a second look on Essentials

If your issue with HoneyBook was Starter feeling limited, Essentials ($49 a month billed annually) adds automations and scheduling. If the issue was that HoneyBook felt like too much, a higher plan won't fix that.

How to test a CRM during the trial

Demo accounts are built to look easy. Run one of your real bookings through each tool you're considering instead.

  1. Build your most popular package with two add-ons, like drone and raw footage, and send it as a proposal.
  2. Upload your actual contract, including your audio, drone, music, and revision clauses. See how much reformatting it needs.
  3. Set up a payment schedule with a retainer and a final payment due a few weeks before the wedding.
  4. Send the contract to a test couple, with a friend playing the planner who only needs to view it. Ask both what they had to click through.
  5. Open everything on your phone, because that's where your couples will.
  6. Picture 15 weddings in the edit at once. Can you see at a glance which ones are paid, which are shot, and which are still waiting on music picks?

Whichever tool makes those six steps feel the least like work is probably your answer.

Frequently asked questions

What is the best CRM for wedding videographers?

It depends on your process. Compare Dubsado for configurable workflows, Studio Ninja Pro for photo-and-video studio tools at $270 a year, and Bower for a straightforward wedding booking process built by a wedding filmmaker.

Is Studio Ninja Starter enough for a wedding videographer?

Probably not. It caps you at five active jobs, and videography weddings stay active for months while you edit. Most working videographers will need Pro or higher.

Do wedding videographers need a CRM at all?

You can benefit even with a small wedding calendar if contracts, payments, and follow-ups are slipping. If your current system keeps every booking clear and up to date, you may not need to switch yet. The question is what a CRM would improve, not how many weddings you shoot.

Can a planner view my videography contract without signing it?

In Bower, yes. Add the planner as a viewer and the couple as signers, and each gets their own private link with no account needed. Test this with any tool you're considering.
